Adding your signature to Office365 or Outlook.com

Steps for adding your signature to the older Office 365/Outlook.com web settings. If you're on the new Outlook, see the 2026 guide instead.

Using the new Outlook or Outlook.com? Microsoft has since unified Outlook for Windows and Outlook.com into the same signature system. For current instructions, see How do I add an email signature to Outlook for Windows and Web (2026). The steps below are for the older interface and may not match what you see.

How do I add my signature to the older Office 365 or Outlook.com?

  1. Open your signature on htmlsig.com and click Open in New Tab.

  2. Select and copy your signature to your clipboard.

  3. Log in to Outlook.com and click the Settings gear icon in the top-right corner.

  4. Click View all Outlook settings at the bottom of the panel.

  5. Go to Mail > Compose and reply.

  6. Click into the signature box and paste your copied signature (Ctrl+V / Cmd+V).

  7. Check the boxes to automatically include your signature on new messages, and on replies/forwards, if desired.

  8. Click Save.
