How do I add my email signature to Outlook 2016 for Mac?

Important: Microsoft is retiring this version. Legacy Outlook for Mac (which includes Outlook 2016) will lose its connection to Exchange Online mailboxes starting October 2026. If you're unsure which version you're on, check for a "Legacy Outlook" toggle in the app, or go to Help > Check for Updates.

How do I add my email signature to legacy Outlook 2016 for Mac?

  1. Open your signature on htmlsig.com in Chrome or Firefox (avoid Safari, which can cause layout errors).

  2. Select and copy your signature to your clipboard.

  3. Open Outlook and go to Preferences.

  4. Select Signatures, then click the + button.

  5. Paste your signature into the text field.

  6. Close the window — your signature should now be working.

Note: in some versions of Outlook 2016, a clipboard icon appears after pasting. If you see it, click it and choose Keep Source Formatting to preserve your signature's layout.
